The Professional Staff Coordinator position offers a dynamic role in which you'll be the backbone of our administrative operations. From managing sensitive information with discretion to coordinating schedules and travel arrangements, you'll be instrumental in ensuring seamless workflow and maintaining confidentiality. Additionally, you'll play a key role in office management, developing efficient systems, maintaining updated filing systems, and producing essential department metrics and reports. Your attention to detail will be crucial in credentialing tasks, where you'll handle everything from generating provider files to ensuring regulatory compliance and maintaining accurate records. As a liaison for various stakeholders, you'll facilitate communication and support enrollment activities, managing applications and ensuring timely approvals.     Essential Functions/Responsibilities/Duties
    • Administrative Support:
      • Processes sensitive information, documents, and correspondence and coordinates schedules.
      • Manages confidential and privileged information with discretion.
      • Processes outgoing and incoming mail per YVFWC guidelines, including FedEx.
      • Monitors and takes action on emails received in department inboxes.
      • Uploads and updates all documentation and decisions to appropriate department software.
      • Composes and compiles written correspondence, narratives, and reports as requested.
      • Screens telephone calls and responds as appropriate.
      • Secures travel arrangements and reimbursements.
      • Travels with assigned team members to various locations as needed.
      • Responds to requests for verification of employment consistent with corporate policy.
      • Completes or handles recurring or one-time department projects as directed by supervisor.
      • Attends various administrative and other meetings and transcribes minutes.
      • Distribute transcribed minutes to the appropriate individuals in a timely manner. Post committee documents to the appropriate location or person

        • Provides administrative support to team members as needed.
        • Office Management:
          • Designs office systems to facilitate workflow.
          • Develops and maintains an accessible and updated filing system (electronic and paper).
          • Develops databases as required to facilitate information processing.
          • Coordinates the work of volunteer or intern support staff, making assignments as needed and supports other professional staff.
          • Produces Professional Staff Services department metrics, data reports, and dashboards as needed.
          • Serves as a liaison for candidates, clinicians, clinic staff, and representatives from outside agencies.
          • Assists in maintaining and updating department content on First Source.
          • Assists in timely reviews of department-related plans, policies, procedures, forms, and protocols.
          • Creates and maintains site-specific Coverage Documents
          • Assists in staff workflow management to ensure contractual time lines and delivery dates are met.
          • Credentialing:
            • Generates new provider files, assists in verifying records for accuracy, and reviews documentation to ensure proper policy application and regulatory compliance related to maintaining personnel records.
            • Ensures proper policy application and regulatory compliance related to the maintenance of credentialing.
            • Archives and purges files as necessary. Destroys files according to standard practices, policy, and respective laws.
            • Tracks all licenses and certifications required for staff. Uses Primary Source Verification to document current licenses and certification. Ensures that licenses and certificates do not expire.
            • Enters and maintains licensure and certification in the Professional Staff Services software system.
            • Enters employee information into the Professional Staff Services software system. This information includes but is not limited to.
              • demographics
              • work history
              • licensure,
              • malpractice coverage
              • hospital affiliations.
              • Reviews all data prior to entry to ensure entries are correct and comply with policy. Work with appropriate partners to correct/resolve the issue when errors are identified. Identifies trends or patterns and develops systems to address them accordingly.
              • Assists in performing scheduled data audits to ensure data accuracy.
              • Maintains and acts as a Subject Matter Expert for the Professional Staff Services software system.
              • Assists in primary source verifications as it pertains to credentialing under the direction of the Professional Staff Specialist.
              • Notifies the Professional Staff Specialist of submitted applications.
              • Acts as liaison between the Professional Staff Services Department and other YVFWC departments through verbal and written communication.
              • Assists in the processing of initial appointment and reappointment files under the direction of the Professional Staff Service Specialist.
              • Enrollment:
                • Assists in the re/enrollment activities of YVFWC under the direction of the Provider Enrollment Specialist.
                • Creates and manages enrollment files and application checklists for each new provider or clinical professional.
                • Notifies Provider Enrollment Specialist of complete applications.
                • Pre-populates Oregon Provider Credentialing Applications (OPCA) and Oregon Provider Re-Credentialing Applications (OPRA) for eligible Oregon Providers and Border clinic providers.
                • Completes and manages necessary health plan rosters and approvals such as Lexis-Nexus, Providence, Atrio, Availity, and assists with others as needed.
                • Records and tracks effective dates and ID numbers in Professional Staff Services software systems.
                • Documents and communicates enrollment approvals to appropriate leadership and staff.
                • Prepares and delivers routine monthly reports to internal and external clients.
                  • Required Education: Associate's Degree in Healthcare or Healthcare Administrative related field. A High School Diploma or GED with two additional years may be substituted for the Associate's Degree.
                  • Required Experience:
                    • With an Associate's Degree or higher: 2 years of administrative experience or a combination of administrative and other relevant professional experience in a direct customer service capacity.
                    • With a High School Diploma/GED: 4 years of administrative experience or a combination of administrative and other relevant professional experience in a direct customer service capacity.
                    • Knowledge/Skills/Abilities Required or Preferred: Skills include data entry and filing, with working knowledge of software including word processing, spreadsheet functions, databases, and electronic mail. Ability to demonstrate math aptitude, effective verbal/written communication, and interpersonal problem-solving skills. Ability to manage sensitive and confidential material. Excellent organizational, time management, and priority-setting skills. Ability to work independently in a fast-paced, multi-task environment with attention to detail and the ability to audit one's work. Ability to frequently use independent judgment to answer questions and perform duties. Knowledge of basic credentialing and enrollment functions, applications, legal environment, and exposure to credentialing and enrollment is helpful. Ability to work with frequent interruptions.
